NCAWARE allows for the manual entry of File Numbers (and therefore, cases) due primarily to the following circumstances:
NCAWARE is temporarily not accessible (ex. power/network outages), and initiating processes are created on paper. Once the technical problem is resolved and connection to NCAWARE restored, the paper processes would then need to be entered manually into NCAWARE.
A process is deleted and has to be re-issued.
Before you start:

From the MAIN MENU of NCAWARE, click the Add a Process link.
The Add a Process screen displays. Select the radio button of the type of manual process from either the Warrants, Summons, Orders for Arrest, or Magistrate Order section, then click the Add a Manually Created Process button.
The OFFENSE DATE screen will display.
For all non-Citation processes, enter (or select) a value in the required Offense Date/Start Date of Offense field and the End Date of Offense field, if applicable. After the Date value(s) are entered, click the Submit button. Skip to Step #4.
For all (Magistrate Orders based on) Citation processes, enter (or select) a value in the required Offense Date field, then enter a (required) Offense Time and select AM, PM, or MM. After the Date/Time value(s) are entered, click the Submit button.
Note: The system does not allow a return to this screen. If dates were submitted incorrectly, changes will need to made on the process SUMMARY tab (See Step #6 below). |
The PROCESS TAB VIEW of the selected process type displays with an assigned Temporary File Number (TMP). From this point, enter the process information (Defendant, Offense, Complainant, Witness, etc) as normal. For Help on adding a specific process type, click
Once the process information from the above step is entered, click the SUMMARY tab.
The SUMMARY tab displays. Click the Edit Summary button.
The SUMMARY DETAILS screen displays. To issue the process, enter the manually created File Number and the following required fields:
Probable Cause, Date Issued, Issued By, Select Issuer (button)
Process Tracking County, Agency Type, and Agency (Warrants and Summons only)
Process Exists in Paper Form

Once completed entering the required fields, click the Edit button.

The CASE SUMMARY TAB VIEW of the process displays. Depending on the process type, the process now has a status of Unserved (Paper) or Served and is available for attachment of subsequent processes.
