Add/Issue a Manual Process

NCAWARE allows for the manual entry of File Numbers (and therefore, cases) due primarily to the following circumstances:

Before you start:

  • Only Clerks (Limited and Full) can enter manual processes.

  • Other than manually entering the process File Number (as opposed to NCAWARE automatically assigning one), the steps to add a manual process are identical to adding a normal initiating process in NCAWARE. See the link at the end of the below steps for Help on adding specific processes.

  • The manual process function is not available for Involuntary Commitment processes.

  • An alternative method of manually creating processes is available to Mecklenburg County clerks.

  1. From the MAIN MENU of NCAWARE, click the Add a Process link.

  2. The Add a Process screen displays. Select the radio button of the type of manual process from either the Warrants, Summons, Orders for Arrest, or Magistrate Order section, then click the Add a Manually Created Process button.

    1. The OFFENSE DATE screen will display.

Note: The system does not allow a return to this screen. If dates were submitted incorrectly, changes will need to made on the process SUMMARY tab (See Step #6 below).

  1. The PROCESS TAB VIEW of the selected process type displays with an assigned Temporary File Number (TMP). From this point, enter the process information (Defendant, Offense, Complainant, Witness, etc) as normal. For Help on adding a specific process type, click here .

  2. Once the process information from the above step is entered, click the SUMMARY tab.

  3. The SUMMARY tab displays. Click the Edit Summary button.

  4. The SUMMARY DETAILS screen displays. To issue the process, enter the manually created File Number and the following required fields:

      • Probable Cause,  Date Issued,  Issued By,  Select Issuer (button)

      • Process Tracking County,  Agency Type, and Agency (Warrants and Summons only)

      • Process Exists in Paper Form

For Help on issuing a specific process type, click here .

Once completed entering the required fields, click the Edit button.

The CASE SUMMARY TAB VIEW of the process displays. Depending on the process type, the process now has a status of Unserved (Paper) or Served and is available for attachment of subsequent processes.
