PRINTING copies of Forms or Reports
 

 

The contents of the printed document should be grouped first by process, then grouped within that by forms/reports, and within that by copy types.

Each grouping should maintain the order in which the items are listed on the screen as the order in which they appear in the printed document.  e.g. If selecting to print the Original and Defendant copy of two Fugitive Warrants and Affidavits, the finished document would be ordered as follows:

 

Page 1-2: WFA for Fugitive A (Original Copy);
Page 3: WFA for Fugitive A (Defendant Copy);
Page 4: Fugitive Affidavit A (Original Copy);
Page 5: Fugitive Affidavit A (Defendant Copy);

User title checkboxes on printed forms should be populated based on the following mappings to the Title associated with the user’s login.  

If one of the following mappings applies and the checkbox appears on the form, then it should be checked.  

Nothing should be done if no mapping can be made.

When printing a stub (i.e., a process with an incomplete electronic record) Restrict printing of these processes to DRAFT only.  Stubs will not contain the full set of information to allow printing a complete original document. Display the error message: "This converted process has an incomplete electronic record. An original cannot be printed. Please contact the assigned agency prior to service to obtain the original paper."

Each time a new document is generated, over-write any previous document window.  Do not prompt the user with an error or warning message.  

NOTE: If the user has selected to display PDFs in Acrobat rather than the browser, this rule only applies to the temporary window that NCAWARE controls.  Once it is loaded in Acrobat, it manages the PDFs according to it’s settings.

The default method of flipping pages is to flip on the short side of the paper (Up/down if orientation in printer is set to portrait and Left/right if the orientation is set to landscape).  

Any forms/reports which do not follow this standard will be specified as an exception and should have their even-numbered pages flipped 180 degrees when generated as a document.

Regardless of the case from which the Related Cases are viewed or printed, the sort order will be:

  1. Lead Case
  2. Related Cases ascending by year of file number, then sequence number

·  If an OFA with related cases is attached to the Release Order, all of the OFA related cases will also print on the Release Order as related cases and are subject to the above sort order.

·   CRS case types are sorted in same manner as CR types.

·  The above sort order does not apply to the list of potential Release Cases returned when the “Attach Case” button is clicked on the Release Order/Related Cases tab. This sort order is detailed in RO Related Cases_UC123.doc.

When Conditions of Release are edited on a Release Order with a status of Issued

 

  • A CONDITIONS OF RELEASE MODIFICATION HISTORY supplemental form is generated and associated with the specific Release Order.

  • The form is available and default selected on the related Print Process screen.

  •  A copy type of the supplemental form is printed for each copy type selected except for Defendant copy. There is to be no Defendant copy of this form.

  • Successive edits of Release Condition fields on the Release Order will generate new versions of the supplemental form. The new edit event will display at the top of the events (the events are to order descending by edit date).

  • When a Release Order’s status is Inactive, the associated supplemental form remains accessible via the Process Print screen for that Release Order.

  • A generic listing of the edit event is printed on page two of the associated Release Order form.

When printing a Conditions of Release Modification History form

 

The CONDITIONS OF RELEASE MODIFICATION HISTORY operates within Release Order w/related cases print functionality. If the lead case, any related case, or the RO itself is searched for and selected for print, the MODIFICATION form will display as a printing option on the Print Request screen.

 

The form itself does not contain related case numbers as this information is already contained on the Release Order and the related cases supplemental sheet.
